Sandton law firm disbursement recovery in this 30-employee practice began with a replacement rather than a first installation. The firm already ran a competitor product, and it already produced reports. What it did not do was recover money reliably: monthly recovery billing had settled at R40,000 while the practice was consuming 14 boxes of paper a month at R450 a box and carrying R19,250 a month in paper and device rental costs.

The cost of a system that only measures part of the picture
The previous product tracked copying, printing and telephone. On paper that sounds close to complete, and that impression is what makes partial systems expensive. Every output type left outside the system becomes invisible rather than merely unbilled, so the firm cannot even quantify what it is absorbing. Meanwhile the visible costs continue: paper, rental and device charges arrive every month whether or not they are attributed to a matter.
Set against R19,250 a month in paper and device rental alone, a recovery figure of R40,000 is not a comfortable margin. It is a practice funding a meaningful share of its own operating overhead out of fee income, without a clear view of how much.

That nine-year series is more persuasive than any single figure, and the dip visible in FY2021 makes it more credible rather than less. Volumes fell across the profession in that period. The ratio held while the rand figure moved with activity, which is exactly how a properly instrumented process should behave. A system that reported flat recovery through a disrupted year would be reporting its own configuration, not the firm’s work.
Replacing an existing system: what to check
Firms considering a change should list every output type the current system does not touch, then price it, because that list is the actual business case. Ask whether capture is embedded on the devices or bolted alongside them, whether recovery is expressed as a ratio as well as a rand value, and whether the vendor can show a multi-year series rather than a launch month. Sustained performance is the only evidence that matters once the novelty period ends.
